Poster Session Regulations

Guidelines — submitting posters for presentation at the Congress

The following guidelines must be adhered to when submitting posters for presentation at the Congress CEEM 2025:

  1. Submission Process:
    • Deadline: Posters must be submitted by 20.03.2025. Late submissions will not be accepted.
    • Submission Format: Submit your poster in a PDF format via the congress e-mail: [email protected]
    • Registration: All poster presenters must be registered for the congress. Ensure that the registration is complete before submission.
  2. Poster Content:
    • Title: The title of the poster should clearly reflect the content of your research or presentation and should be concise (maximum 15 words).
    • Abstract: Include a brief abstract (200-300 words) summarizing the study or research, key findings, and conclusions.
    • Authors: List all contributing authors, including their institutional affiliations.
    • Font Size: Use a font size that is legible from a distance of 1-2 meters (recommended minimum font size: 24pt for body text, 36-48pt for the title).
    • Layout: The poster should follow a logical structure, with sections such as Introduction, Methods, Results, and Conclusions.
    • Images & Graphics: All figures, tables, and graphics should be high quality (300 dpi) and clearly labeled. Ensure permission for the use of copyrighted images.
    • References: Limit references to 5-7 key citations, formattedaccording to APA, MLA, or Chicago.
  3. Poster Dimensions:
    • Size: Posters should be printed in portrait orientation with a maximum size of 90 cm (width) x 120 cm (height).
    • Material: Use a sturdy, easy-to-transport material (e.g., fabric or laminated poster paper).
  4. Presentation Guidelines:
    • Stand Setup: Posters should be mounted on designated display boards on the day of your presentation. Specific mounting instructions will be provided closer to the event.
    • Presenter Availability: Presenters should be available for discussions during the scheduled poster session time. Be prepared to answer questions about your work and engage with attendees.
    • No Audio/Visual Equipment: Presentations should be entirely visual (printed materials). No additional audio-visual equipment, such as projectors, will be allowed.
    • Accessibility: Ensure that your poster content is accessible to a wide audience, including those with visual impairments.
  5. Evaluation Criteria:
    • Posters will be reviewed based on the following:
    • Relevance to the Congress Theme: The alignment of the research or study with the congress theme and objectives.
    • Clarity of Presentation: How clearly the research is presented (content, layout, language).
    • Scientific Rigor: The quality and robustness of the research or study methods.
    • Engagement: How effectively the presenter engages with the audience during the session.
  6. Ethical Considerations:
    • Ensure that the research complies with ethical guidelines, and if applicable, approval from relevant ethical committees must be stated on the poster.
    • Conflicts of Interest: All authors should disclose any potential conflicts of interest related to the research.
  7. Awards and Recognition:
    • Outstanding posters may be recognized with an award. Criteria for awards will be based on scientific merit, clarity of presentation, and engagement with the audience.
  8. Additional Notes:
    • Language: All posters and presentations must be in English, unless otherwise specified.
    • No Commercial Advertising: Posters should not contain commercial advertisements or promotional content.
    • Poster Removal: Posters must be removed at the end of the designated session. Posters left behind will not be stored.

By submitting a poster to the Congress, you agree to adhere to theseguidelines. The Congress organizing committee reserves the right to reject any poster that does not meet the specified requirements.
